Frequently asked questions about Synergist and Xero integration

Do I send invoices from Synergist or Xero? 

Whichever you prefer, but Synergist offers much more flexibility. For example, you can detail the work done and include custom notes to help accelerate client approval and payment. You can invoice a phase or job, create a multi-job invoice per client or batch invoice based on planned billing dates. You can manage deferred or accrued revenue. And you get extensive management and client reporting all in one place.  

Can I choose the invoice number sequence?

Yes. You can specify the invoice numbering prefix (e.g. INV-or I-) and the invoice 'start' number in Synergist. Invoices raised in Synergist will then use the consecutive numbers.

What job reference data can I send to Xero? 

Xero does not allow many options in terms of a reference. You can send the job or order number for sales invoices and either the supplier reference or the Synergist PIR number for purchase invoices. Sales invoices have an additional setting to add the line detail to the invoice line description. Purchase invoices have an additional setting to include the job/phase number in the purchase description. 

Are purchase orders pushed through to Xero?

No, purchase orders do not push across to Xero. Only purchase invoices (i.e. supplier invoices) go into Xero as a bill payable. This is because Purchase orders are requests to purchase something; they are not financial transactions until the purchase invoice has been received. You can attach files to purchase invoices in Synergist (for example, purchase orders and scanned images of paper), which can be sent to Xero with the Purchase invoice. 

Can I predetermine which Xero sales or cost of sales account my invoices get coded to?

Yes, you have the flexibility of how you pre-code your invoices as they arrive in Xero. It includes transaction-level support for nominal codes and up to two Xero tracking categories to analyse how different areas of your business are performing (such as departments, business units or locations).
